Approving Orsa AI's Actions

How Orsa AI's approval cards work, what needs your approval and what doesn't, Approve All and Reject All, what each status means, and what happens after you decide.

Orsa AI never adds or changes your content behind your back. When it wants to create an idea, set up a pillar or draft a script, it shows a card in the chat. Nothing is saved until you click Approve.

A few things Orsa AI does without a card: looking things up, and saving notes to Brand Memory. See What Orsa AI does without asking.

Cards appear in every Orsa AI chat: the main chat on the Organize page and the chats inside the editors. For Orsa AI basics, see Meet Orsa AI.

Quick start (5 minutes)

  1. Open the Organize page and click Ask Orsa AI.
  2. Ask for something, like “Give me 2 ideas for a Mother’s Day post.”
  3. Orsa AI replies with two cards that say Orsa AI wants to create new content idea.
  4. Read the title and description on each card.
  5. Click Approve on the one you want. The card turns green and says Approved.
  6. Click Cancel on the other. The card turns grey and says Rejected.
  7. Click the approved idea’s title on the card to open it on your Ideas board.

What an approval card looks like

Each card has:

  • A heading saying what Orsa AI wants to do, like Orsa AI wants to create a new content pillar.
  • A preview of what will be saved: an idea’s title and description, a pillar’s name and goal, slides of a design, or a draft’s text.
  • Two buttons: Approve and Cancel.

The card’s color shows where it stands:

Color Bottom label Meaning
Highlighted Approve and Cancel buttons Waiting for you
Green Approved Done. The heading changes, like Orsa AI created the content idea
Grey Rejected You turned it down. Nothing was saved
Red Failed You approved it, but it couldn’t be saved. The heading starts with “Failed to…”

Approve or cancel one card

  1. Read the card’s preview. For drafts, click View script, View document or View email to read the full text first.
  2. Click Approve to save it. The button shows Approving… for a moment.
  3. Or click Cancel to turn it down. The card shows Rejected.

You can’t change the text on a card. If it’s almost right, click Cancel and tell Orsa AI what to change, like “Make the title shorter and drop the emoji.” Orsa AI then makes a new card.

Approve All and Reject All

When several cards are waiting, a bar appears above the chat box. It says how many are waiting, like 3 pending actions.

  • Click the up and down arrows to jump between the waiting cards. The bar shows which one you’re on, like 2/3.
  • Click Approve All to approve every waiting card, one after another.
  • Click Reject All to turn them all down.

Example: Orsa AI proposes 6 ideas for a café’s autumn menu. The owner clicks Cancel on the 2 they don’t like, then Approve All for the other 4.

What needs your approval

In the main chat on the Organize page, these always show a card first:

What Orsa AI wants to do Card heading

Change an idea’s title or description, or link a script, design or blog to it Orsa AI wants to update a content idea
Fill in one of an idea’s custom text, link or number fields Orsa AI wants to fill in an idea field

Change an existing script’s, document’s or email’s details Orsa AI wants to edit the video script / the document / the marketing email
Turn generated slides into a design Orsa AI wants to create a design from generated slides

In the editors, every change to the item you’re editing also needs your approval. See Orsa AI in the Editors.

Where approved things go

  • Ideas go into the group shown on the card. You can switch it from the card’s Group list before approving. If Orsa AI didn’t pick one, the card shows All Content Ideas. New ideas start as Draft.
  • Pillars, sub-pillars and audiences appear on your brand’s Pillars and Audiences tabs.
  • Scripts, documents and emails are created as drafts. If Orsa AI made one for an idea, it’s linked to that idea. The card then shows Open video script, Open document or Open email.
  • Designs are created in your designs, and you see “Design created”. The card then shows Open design.

For more on drafts and designs, see Drafting Assets and Designs.

What Orsa AI does without asking

These happen straight away, with no card:

  • Looking things up. Reading your brand details, your content, your performance numbers, Discover, or the web never changes anything, so Orsa AI just does it. These steps don’t show in the chat.
  • Saving to Brand Memory. When you tell Orsa AI something worth remembering, like “we’re closed on Mondays”, it saves it to your brand’s memory straight away. It can also correct or archive entries it saved earlier. Check the Noted by AI entries now and then. See Brand Memory.
  • Planning and specialists. Orsa AI’s step-by-step plan and the specialists it hands work to run on their own. A specialist’s draft only reaches you as an approval card. See Specialists and Task Plans.

Question cards aren’t approvals. When Orsa AI asks you something, like which platform to write for, you see a card with options to pick and a way to dismiss it. See Answering Orsa AI’s Questions.

What happens after you decide

Orsa AI picks up on its own. Once you’ve decided on every waiting card in the chat, it continues with the next step and is told which cards you approved, rejected or couldn’t be saved. This works for every card, including ideas, pillars, sub-pillars, audiences, designs and the cards in the editor chats. It builds on what you approved and doesn’t offer rejected ones again.

If you rejected something, say why in your next message, like “I cancelled the third idea because we’ve done that before.” That helps Orsa AI suggest something better.

Orsa AI only tells you something was created after you approve it.

Changing an existing script, document or email

From the main chat, Orsa AI can change an existing script’s, document’s or email’s details, but not what’s written in it.

Orsa AI can propose changes to:

  • the title (the subject line, for an email),
  • the status,
  • a script’s platform, target length and speaker (for every scene),
  • an email’s preview text,
  • which idea it’s linked to.

The card lists what will change, like “Changes: title, status”.

To change the words, scenes or email layout, open the item and use Orsa AI there. Every script, document and email editor has its own Orsa AI chat. See Orsa AI in the Editors.

Example: you ask the main chat “Rename the Spring Launch email to ‘Our spring menu is here’ and mark it ready for review.” Orsa AI shows Orsa AI wants to edit the marketing email. To rewrite the email’s body, open it and ask Orsa AI in the Orsa AI tab.

Approvals and AI credits

Orsa AI uses your brand’s AI credits. When they run out:

  • The chat box is locked, and you see “You’ve used all your AI credits for this plan. Upgrade your plan or buy an AI Credit Pack to keep chatting.”
  • Approving a new script, document or email, or a change to their details, doesn’t go through. You see “Failed to update message”, and the card stays waiting. Approve it again once you have credits.

See Credits and Limits and Plans and Billing.

Ideas for using approval cards

Approve the best, cancel the rest.

Ask for 10 ideas at once. Cancel the weak ones, then click Approve All for the rest.

Build your strategy in one sitting.

A dog groomer asks “Suggest 4 content pillars and 2 audiences for us.” They approve 3 pillars, cancel 1, and approve both audiences.

Tidy up an old draft’s details.

“Link the ‘Puppy’s first groom’ script to the idea of the same name and set its platform to TikTok.” Approve the edit card.

Tips for the best results

  • Read before you approve. Open View script, View document or View email on draft cards.
  • Cancel and explain. A short reason, like “too salesy”, gets a better second try than starting over.
  • Decide on every card. Orsa AI waits until all cards in the chat are decided before it continues with drafts.
  • Tell Orsa AI what you rejected. For idea, pillar and audience cards, Orsa AI doesn’t find out on its own that you cancelled one.
  • Check Brand Memory after long chats. Memory saves don’t need approval, so look for Noted by AI entries and fix anything wrong.

Common questions

I approved a card and it says Failed. The change couldn’t be saved. A message on the card or a popup says why, like “Failed to create the content idea” or “This script no longer exists.” Ask Orsa AI to try again.

I clicked Approve and saw “Failed to update message”. The card stayed waiting. The most common cause is that your brand is out of AI credits. See Approvals and AI credits. It also happens if the card was already approved or cancelled in another tab. Reload the chat to see its latest status.

I approved an idea that links to a design or blog, and saw “Failed to link design…”. The idea was still created, but the design or blog wasn’t linked. Usually the design is already linked to a different idea. Open the idea and check its links. See Working on an Idea.

I see “No default content board found for this brand”. Orsa AI didn’t pick a content group and your brand has no All Content Ideas group. Tell Orsa AI which group to use, then approve the new card.

I see “These slides have too much text to open in the editor”. The generated slides can’t be turned into an editable design. Ask Orsa AI for a version with less text per slide.

Orsa AI didn’t reply after I approved its ideas. That’s expected. After idea, pillar, audience and design cards, send your next message to carry on. See What happens after you decide.

Can I undo something I approved? Not from the chat. Change or delete it where it lives: the idea on your Ideas board, the pillar on the Pillars tab, or the draft in its editor.

Orsa AI saved something to memory without asking. That’s how Brand Memory works. Archive or delete the entry on the Memory tab. See Brand Memory.

Can a teammate approve my cards? No. Your Orsa AI chats are private to you, so only you see your cards. See Conversations and History.

Orsa AI said it changed my email’s text from the main chat. It can’t. The main chat can only change details like the title and status. Open the email and ask Orsa AI there. See Changing an existing script, document or email.
