Team Roles and Permissions

What the Owner, Admin and Member roles can each do in a brand, how to transfer ownership, and how to remove someone from a brand.

Everyone in a brand has one of three roles: Owner, Admin or Member. The role decides who can manage the team, the plan and the brand itself. Everyone can create and work on content.

Roles belong to one brand. You can be the Owner of your own brand and a Member of a client’s brand at the same time.

To see your role, open the brand. The badge next to the brand name at the top of the page shows Owner, Admin or Member.

The three roles

  • Owner: the person in charge of the brand. Each brand has exactly one Owner. Whoever creates a brand becomes its Owner.
  • Admin: helps run the brand. Admins can invite people, manage the plan and change brand settings.
  • Member: works on content. Members don’t see the Subscription or Settings tabs.

Example: at a small agency, the founder is the Owner of each client brand. The account manager is an Admin who invites the client’s team. The designer and copywriter are Members.

See who’s in a brand and their roles

  1. Open the brand’s Settings tab. Only Owners and Admins can see it.
  2. Scroll to Members.
  3. Each person shows their name, email and a role badge: Owner, Admin or Member.

Below Members, Invitations History lists every invitation and its status. See Inviting Your Team.

Choose a role when you invite someone

You set a person’s role when you invite them. In the Invite New Member window, pick Admin or Member under Role.

  • Pick Admin for someone you trust to invite others, manage billing and change brand settings.
  • Pick Member for everyone else.

You can’t invite someone as Owner. To make someone the Owner, invite them first, then use Transfer Ownership.

Change someone’s role

There’s no button to change a person’s role after they’ve joined. Here’s what you can do instead:

  • To make someone the Owner: use Transfer Ownership. See Transfer ownership.
  • To change someone between Admin and Member: the Owner removes them with Remove Member. Then an Owner or Admin invites them again with the new role, and they accept the new invitation.

Removing someone and inviting them back doesn’t delete anything they made in the brand. Inviting needs a paid plan, and the person has to accept within 7 days.

Transfer ownership

The Owner can hand the brand over to someone who’s already in it.

  1. Open the brand’s Settings tab.
  2. Under Members, find the person who should become the Owner.
  3. Click the three-dot menu on their row.
  4. Click Transfer Ownership.
  5. Check the name in the confirmation window and click Transfer.

What changes:

  • The person you picked becomes the Owner. They get a Brand Ownership Transferred notification.
  • You become an Admin. You keep access to the brand, the Subscription tab and the Settings tab.
  • Only the new Owner can now rename the brand, remove members, transfer ownership again, or archive or delete the brand.

You’ll see Ownership transferred when it’s done.

Example: a freelancer set up a brand for a client. When the project ends, she invites the client’s marketing lead, transfers ownership to him, and stays on as an Admin until the handover is finished.

Remove a member

Only the Owner can remove people from a brand.

  1. Open the brand’s Settings tab.
  2. Under Members, click the three-dot menu on the person’s row.
  3. Click Remove Member.
  4. Click Remove in the confirmation window. You’ll see Member removed.

What happens next:

  • The person loses access to the brand, and it disappears from their Brands list.
  • They get a Brand User Removed notification.
  • Their review alert emails for this brand stop.
  • Everything they made stays in the brand.

You can’t remove the Owner, and the Owner can’t remove themselves. To leave a brand you own, transfer ownership first. Then ask the new Owner to remove you.

Default approver settings

Owners and Admins can make anyone a default approver for a type of content.

  1. Open the brand’s Settings tab.
  2. Under Members, click the arrow on a person’s row.
  3. Under Default Approver Settings, turn on Design, Blog, Transcript or Marketing Email.

That person is then added as an approver to new content of that type. Members can’t change these settings. See Reviews and Approvals.

Ideas for using roles

A business owner with a part-time helper. Keep yourself as the Owner and invite the helper as a Member, so they can make content without touching billing.

Example: a florist invites her weekend assistant as a Member. He makes Instagram designs and schedules posts. He can’t see the plan or invite anyone.

An agency running client brands. Make the account manager an Admin on each client brand, so they can invite the client’s team without asking the founder.

Example: an agency founder owns Harbor Books. She invites her account manager as an Admin. He invites the shop’s manager as a Member and sets her as the default approver for Design.

Handing a brand back to a client. Invite the client, transfer ownership to them, and stay on as an Admin.

Tips for the best results

  • Give the fewest people Admin. Admins can buy plans and add-ons. Most teammates only need Member.
  • Keep the Owner role with the person who pays. The Owner decides about archiving or deleting the brand.
  • Transfer before someone leaves. If the Owner is leaving the business, transfer ownership while they still have access. Nobody else can do it.
  • Double-check before you click. Transfer Ownership and Remove Member happen right away, with no “Are you sure?” step.
  • Set default approvers once. Turning them on in Settings saves picking an approver every time someone makes a design.

Common questions

I can’t see the Settings or Subscription tab. You’re a Member of this brand. Only Owners and Admins see those tabs. Ask the Owner if you need something changed.

I’m an Admin. Why don’t I see the three-dot menu on members? Only the Owner can transfer ownership or remove members, so only the Owner sees that menu.

How do I change someone from Member to Admin? There’s no option to change a role directly. The Owner removes the person, and then an Owner or Admin invites them again as an Admin. See Change someone’s role.

I see “Failed to transfer ownership”. You can’t transfer ownership to yourself or to someone who’s already the Owner. Pick another person on the Members list.

I see “Failed to remove member”. You can’t remove the Owner or yourself. If you’re trying to leave a brand you own, transfer ownership first.

Can a brand have two Owners? No. Each brand has one Owner. Make the second person an Admin.

I turned on a default approver toggle and it switched back. The change didn’t save, and you’ll see Failed to update approver settings. Only Owners and Admins can change these settings. Reload the page and try again.

Does removing someone delete their work? No. Their designs, ideas, comments and other content stay in the brand.

Can I leave a brand I was invited to? There’s no leave button. Ask the brand’s Owner to remove you.
