Inviting Your Team

Invite teammates to a brand by email as an Admin or Member, track invitations, and accept an invitation from the notification bell.

Invite teammates to a brand so you can work on its content together. You invite people by email and choose their role: Admin or Member. They accept the invitation from the notification bell in Orsa.

Before you start:

  • You need a paid plan. A brand on its trial or on the Free plan can’t invite anyone. See Plans and Billing.
  • You must be the brand’s Owner or an Admin. Members can’t invite people.
  • Invitations last 7 days. After that the person needs a new invitation.

You invite people from the brand’s Settings tab.

Quick start (5 minutes)

  1. Open the brand’s Settings tab.
  2. Scroll to Members and click Invite.
  3. Type your teammate’s email, like jamie@lewisbakery.com.
  4. Under Role, pick Admin or Member.
  5. Click Send. You’ll see Invitation sent!
  6. Your teammate signs in to Orsa, opens the notification bell and clicks Accept.

Invite a teammate

  1. Open your brand and click the Settings tab.
  2. Scroll to Members (“Add members to collaborate”).
  3. Click Invite. The Invite New Member window opens.
  4. In Email, type the person’s email address, like sam@greenleafcafe.com. Use the address they sign in to Orsa with.
  5. Under Role, pick Admin or Member. If you leave it on Select a role, you’ll see Select a role.
  6. Read the note: You’ll be charged a prorated amount when the member accepts the invitation.
  7. Click Send. The button shows Sending… and then you’ll see Invitation sent!
  8. Click Close.

The new invitation appears under Invitations History with the status Pending.

To invite several people, repeat the steps for each one. Each invitation is for one email address.

Choose Admin or Member

  • Admin can invite people, see the Subscription and Settings tabs, manage the plan and add-ons, and change review and quality settings.
  • Member can create and work on all content, but doesn’t see Subscription or Settings.

Example: a café owner invites her manager as an Admin, so he can add new staff later. She invites the barista who takes photos as a Member.

You can’t change a role after someone joins. Pick carefully. See Team Roles and Permissions for the full list of what each role can do.

What your teammate receives

When you click Send, two things happen:

  • An email with the subject “Orsa - Invitation”. It says who invited them and to which brand, with a link to sign in or sign up.
  • An invitation in Orsa, in their notification bell. It’s there as soon as they sign in with the invited email address.

If the person doesn’t have an Orsa account yet, the email links to the sign-up page instead of the sign-in page.

Accept an invitation

If someone invited you to a brand:

  1. Sign in to Orsa with the email address the invitation was sent to.
  2. Click the bell (Notifications) in the sidebar. A number on the bell shows you have something new.
  3. Under Invitations, find the card that says Invited to brand name by name. Under that, Expires shows the last day you can accept.
  4. Click Accept. You’ll see You’ve joined brand name.
  5. The brand now appears in your Brands list. Switch to it to start working.

To turn it down, click Decline instead.

Everyone else in the brand gets a notification when you accept or decline.

If you don’t have an account yet

  1. Open the link in the invitation email, or go to the sign-up page.
  2. Sign up with the same email address the invitation was sent to. You can also use Sign up with Google if it’s the same address.
  3. Sign-up also asks for a Brand name and creates a brand of your own. That’s normal. Your own brand is separate from the one you were invited to.
  4. Once you’re signed in, open the bell and click Accept on the invitation.

See Signing Up and Logging In.

Invitation statuses

Under Invitations History on the Settings tab, every invitation you’ve sent shows one of these statuses:

Status What it means Date shown
Pending Sent, not answered yet Expires date
Accepted The person joined the brand Responded date
Declined The person turned it down Responded date
Expired Not answered within 7 days Expired date

Each row also shows the role you picked, like Admin or Member.

You can’t cancel or resend an invitation from the list. If an invitation was declined or has expired, send a new one.

What a new member costs

Each person in a brand uses a seat on its plan.

  • Teams includes 3 users. Each person beyond that is billed as an extra seat. The Teams card on the Subscription tab shows the price per extra seat.
  • Solo includes 1 user. If you’re planning to work with others, choose Teams.
  • You’re charged when the person accepts, not when you send the invitation. The charge is prorated, so you pay only for the rest of the billing period.

See Plans and Billing.

Ideas for inviting your team

Bring in a client to approve content. Invite the client as a Member and make them a default approver, so new designs land with them for review.

Example: a freelance social media manager invites maria@harborbooks.com as a Member. On Maria’s row under Members, she turns on Design under Default Approver Settings. Maria now reviews every new design.

Let a manager grow the team. Invite your manager as an Admin, so they can invite new staff without waiting for you.

Example: a gym owner invites his front-desk manager as an Admin. When a new trainer starts making Reels, the manager invites her as a Member.

Add a freelancer for a busy season. Invite a freelance designer as a Member for a campaign. When the campaign ends, the Owner removes them from the brand. See Team Roles and Permissions.

Tips for the best results

  • Ask for the right email first. Invite the address your teammate will sign in with. An invitation to their personal email won’t show up if they sign in with a work email.
  • Tell them it’s coming. Let them know to look for an email from Orsa and to accept within 7 days.
  • Start with Member. Give Admin only to people who need to invite others or manage billing. You can’t change a role later without removing and re-inviting.
  • Pick Teams before you invite. Teams includes 3 users. Inviting isn’t available on a trial or on Free.
  • Set default approvers after they join. Once someone accepts, turn on their Default Approver Settings so content goes to them for review. See Reviews and Approvals.

Common questions

I see “Upgrade your plan to invite members” instead of the Invite button. The brand is on its trial or on the Free plan. Choose Solo or Teams on the Subscription tab, then come back to invite.

I can’t find the Settings tab. Only the brand’s Owner and Admins see it. If you’re the Owner and the brand is still being set up, click Complete Onboarding first. See Creating and Setting Up a Brand.

I see “This email is already a member!” That person is already in the brand. Check the Members list.

I see “This email is already invited!” There’s already a pending invitation for that person. Wait for them to answer, or for it to expire after 7 days, before sending another.

I see “Invalid email address” or another error when I click Send. The message says what went wrong, like a mistyped email address. Only Owners and Admins can send invitations. If you see Failed to send invitation, try again.

My teammate says the invitation isn’t in their bell. They need to sign in with the exact email address you invited. If they signed up with a different address, send a new invitation to the address they use. If the invitation has expired, it no longer appears in their bell. Send a new one.

When I click Accept I see “This brand doesn’t have an active subscription, so new members can’t join.” The brand’s paid plan has ended. Ask the brand’s Owner to choose a plan on the Subscription tab. Then click Accept again.

The invitation says Expired. Invitations last 7 days. Ask the person who invited you to send a new one.

Can I invite someone as Owner? No. Invite them as an Admin or Member. Once they’ve joined, the Owner can use Transfer Ownership. See Team Roles and Permissions.

Can I change someone’s role after they accept? Not directly. The Owner removes them, and then you invite them again with the new role. See Team Roles and Permissions.

Does the person I invite need to pay? No. The brand’s plan covers them. They only need a free Orsa account. Signing up gives them their own brand with a 14-day trial, which they don’t have to use.
