The Content Calendar — See Everything Planned for the Month
See scheduled designs, dated ideas, schedule placeholders, Timeline entries, national days, marketing emails, tasks and promotions on one monthly calendar, filter them, and drag items to new dates.
The Calendar puts everything your brand has planned for the month in one view: scheduled designs, ideas with dates, your posting schedule, key dates from your Timeline, relevant national days, marketing emails, task due dates and product promotions.
Each kind of item is a layer you can show or hide. You can drag many items to a new day.
You’ll find it in the sidebar under Organize > Calendar, or go straight to your Calendar.
Quick start (5 minutes)
- Open your Calendar. It shows this month.
- Look at the row of layer buttons above the calendar, like Designs 6 or National Days 3. The number is how many of that kind are on the calendar this month.
- Click a layer button to hide that layer. Click it again to show it.
- Hover over a grey National Days item to see why it was picked for your brand.
- Click a green Schedules placeholder, then Create Design, to start a post for that slot.
- Use Next and Back above the calendar to move between months.
Move between months and views
- Next and Back go forward or back one month. Today jumps to the current month.
- The calendar opens in Month view. You can also pick Week, Day or Agenda. Items are loaded one month at a time.
- The month you’re looking at is kept in the page address, so a bookmarked or copied link opens the same month.
- When a day has too many items, click +N more to see the rest. Click ▼ Hide to close the list.
The count at the top right, like 24 on calendar, is the total of everything showing this month.
What each layer shows
| Layer | What appears | Click it to |
|---|---|---|
| Designs | Each scheduled post or email delivery of a design, at its time, with a small preview | Open the design in the editor |
| Ideas | Ideas whose group has a Start Date field filled in | Open the idea |
| Schedules | A placeholder for every slot in your active content schedules | Get Create Design or Create Blog |
| Timeline | Your brand’s Timeline entries, including repeats | Nothing. Edit them on the Timeline tab |
| National Days | Days picked as relevant to your brand | Hover to see the reason |
| Marketing Emails | Emails with a Scheduled Date (see the note below) | Open the email in a new tab |
| Tasks | Tasks with a due date this month, as all-day items | Open the task |
| Promotions | Product promotions, across their start and end dates | Go to your brand’s Products tab |
A layer button only appears in months that have at least one item of that kind. Cancelled social posts are hidden. Failed posts still show, so you can spot and retry them.
Designs show a small picture of the design. Hover over it to see it larger. A colored dot shows the design’s status, and an icon shows where it’s going, like Instagram or Email. Cancelled posts don’t show.
Marketing Emails: this layer shows emails with a Scheduled Date in this month. Templates don’t appear. A Scheduled Date never sends an email. See Building a Marketing Email.
Show or hide layers
Click a layer button, like Designs or Tasks, to hide that layer. Its button turns grey. Click it again to bring it back.
When any layer is hidden, a Show all button appears. Click it to turn every layer back on.
Hidden layers reset when you leave the Calendar.
Example: Before a planning call, a salon owner hides National Days, Timeline and Tasks so only Designs and Schedules are left. Empty slots without a design stand out straight away.
Filter designs by status
The status button (it starts as All Statuses) filters the Designs layer by each design’s status.
- Click All Statuses.
- Click a status to untick or tick it, like Draft or Approved. Use All or None to change them all at once.
- The button shows how many you picked, like 2 selected.
The status filter only affects designs. Ideas, tasks and the other layers always show. The filter resets when you leave the Calendar.
Example: Untick everything except Review to see which scheduled posts still need sign-off this month.
Change what design labels show
Next to the Designs layer button there’s a small label button. Click it to switch what each design shows on the calendar:
- Name: the design’s name, like “Summer sale carousel”.
- Platform: the platform from its content schedule, like Instagram Post.
- Delivery: where the scheduled post is going, like “Instagram Post” or “Email”.
Each click moves to the next option.
Refresh the calendar
Click Refresh at the top right to load the latest designs, ideas, schedules, Timeline entries, emails and tasks. The arrows spin while it loads.
Use it after a teammate schedules a post, or after you change something in another tab.
Ideas on the calendar
Ideas appear on the calendar only when their content group has a Date field set as its Start Date, and that date is filled in on the idea. With an End Date field too, the idea stretches from the start to the end date.
To set this up, see Put ideas on the calendar with Start and End Date.
Good to know:
- The calendar uses your newest 50 ideas, and the filters you saved on the Ideas board. Older ideas, or ideas your saved filters hide, don’t appear.
- Click an idea to open it. See Working on an Idea.
- If you’ve picked a Color for the idea’s group, a dot in that color shows on the idea.
- Drag an idea to change its start date. If its group has an End Date field, you can also drag the idea’s edge to make it longer or shorter.
Example: A yoga studio’s “Workshops” group has Promo starts (Start Date) and Workshop day (End Date). Each workshop shows as a bar across its promotion weeks.
Schedule placeholders
If your brand has content schedules, like “Instagram, Mondays and Thursdays at 9:00”, the Schedules layer shows a green placeholder for every planned slot. See Content Channels and Schedules.
Start content for a slot
- Click the placeholder.
- Choose the option that appears:
- Create Design for social media schedules. A new Untitled Design sized for that platform is made, linked to the schedule and opened in the editor. You’ll see Design created!
- Create Blog for blog schedules. A new blog opens straight away, with that day as its scheduled date. Blogs don’t appear on the Calendar.
Good to know
- Placeholders show for upcoming slots only. A slot is hidden once a design linked to that schedule has a post on that day.
- Placeholders for schedules that aren’t social media or blog have nothing to create, so clicking them does nothing.
- A new design from a placeholder isn’t posted anywhere. To post it, open the design and schedule it from its Publish tab. See Scheduling a Post.
- Placeholders can’t be dragged. Change the schedule itself instead.
National Days
National Days are holidays and awareness days that fit your brand, like International Coffee Day for a café. They’re grey, all-day items.
Hover over one to see:
- Score: how relevant it is, out of 10.
- Description: what the day is about.
- Why it’s relevant: the reason it was picked for your brand.
How the days are picked
- Worldwide days are picked by AI from your brand’s About, Industry and Sub industry, along with your pillars and audiences. Only days that score 8 or more out of 10 show.
- Country and regional holidays show for the countries and regions of your brand’s locations and audiences. They always score 10.
The AI picks worldwide days for each brand once its About (at least a few words), Industry and Sub industry are filled in. When you save a new About description, the old picks are cleared and the AI picks again from the new description. New picks usually appear within a few hours and can take up to a day, so the calendar may show no worldwide days in between. Picking uses a small amount of your brand’s AI credits; if the brand is out of credits, it waits until credits are available. Changing only Industry or Sub industry doesn’t re-pick them. You can’t add or remove national days yourself.
To fill in your brand details, see About your brand.
Example: A dog groomer in Toronto sees National Dog Day (scored 10/10, “directly related to pet grooming”) and Canada Day (a national holiday in Canada).
Timeline entries and promotions
Timeline entries come from your brand’s Timeline. One-time entries with an end date stretch across every day they last, and repeating entries show on each day they happen. See Timeline entries on the Calendar.
Promotions come from the promotions you add to your products. Each one shows as “Promotion name · Product name” across its dates. Click one to go to your brand’s Products tab. See Products and Promotions.
Neither can be dragged on the Calendar. Change their dates where you added them.
Move items by dragging
Drag an item to another day to change its date. What you can move:
| Item | Can you drag it? | What happens |
|---|---|---|
| Ideas | Yes | The idea’s Start Date (and End Date) move |
| Tasks | Yes, not into the past | The task’s due date changes |
| Marketing Emails | Yes, not into the past | The Scheduled Date moves. The time stays the same |
| Designs going by email | Yes, not into the past | The delivery moves to the new day. The time stays the same |
| Designs going to social media | No | You’ll see Social posts are rescheduled from the design editor |
| Schedules | No | Schedule placeholders cannot be moved. Edit the schedule settings instead. |
| Timeline | No | Timelines cannot be moved |
| Promotions | No | Promotions cannot be moved. Edit the promotion dates instead. |
| National Days | No | They can’t be picked up |
If you drop something in the past, you’ll see Cannot schedule posts in the past, Cannot schedule emails in the past or Cannot set due date in the past. Ideas can be moved to past days.
A social post’s time can’t be changed. To post at a different time, open the design’s Publish tab, cancel the post and schedule a new one. See Scheduling a Post and Where Your Posts Appear.
Ideas for using the calendar
Fill the gaps in your posting schedule Show only Schedules and Designs. Any placeholder without a design next to it is a slot you still need to fill.
Example: A coffee shop posts Monday, Wednesday and Friday. In March, two Wednesdays have a placeholder but no design, so the owner clicks each one and picks Create Design.
Plan around big dates Keep Timeline, National Days and Promotions on while you plan the month.
Example: A bike shop sees its spring sale (a promotion) starts the week of World Bicycle Day. They plan a carousel for that day.
Check what’s waiting for approval Set the status filter to Review only.
Example: Every Thursday, an agency account manager filters to Review and chases sign-off on next week’s posts.
Keep deadlines in view Turn on Tasks to see due dates next to the posts they lead up to. Drag a task to give your team more time.
Tips for the best results
Add a Start Date field to every group you schedule. Without one, that group’s ideas never show on the calendar.
Fill in your brand’s About, Industry and Sub industry early. National days are picked from those details, and picked again whenever you save a new About.
Set up content schedules. Placeholders make it easy to see empty slots and start a design for the right day and size.
Click Refresh after changes elsewhere. The calendar doesn’t update by itself when a teammate schedules something.
Reschedule social posts from the design. Dragging only works for email deliveries, emails, tasks and ideas.
Common questions
A layer button is missing. Layer buttons only show in months that have at least one item of that kind. Move to a month that has one, or add the item first.
My ideas don’t show on the calendar. Their group needs a Date field set as Start Date, and each idea needs that date filled in. The calendar also only uses your newest 50 ideas and your saved Ideas board filters. Check the Filter button on the Ideas board. See Content Groups and Custom Fields.
My scheduled marketing email isn’t on the calendar. Right now the Marketing Emails layer only shows emails saved as templates. Other emails don’t appear, even with a Scheduled Date.
I can’t drag a scheduled Instagram post. Social posts are rescheduled from the design. Open the design and change the time on its Publish tab.
I see “Cannot schedule posts in the past”. You dropped the item on a day that has already passed. Pick today or a later day.
I created a design from a placeholder, but nothing opened. The design is made but not opened. Find it as a Design on that day and click it.
The placeholder is still there after I made a design for it. Placeholders show every slot in your schedule, filled or not.
Nothing happens when I click a placeholder. Only social media and blog schedules have an option. Other schedules show a placeholder with nothing to create.
There are no National Days on my calendar. Your brand’s About, Industry and Sub industry need to be filled in first. Worldwide days are then picked within a day. If you just changed your About, the old days were cleared and new ones are on the way. Country holidays need a location or audience with a country.
Can I add my own national days or remove one? No. You can’t change them directly, though saving a new About re-picks the worldwide days. Add your own dates to the Timeline instead.
My hidden layers and status filter came back. They reset each time you open the Calendar.
