Saved Reports and Notes

Save a Reports view so your team can reopen it in one click, add notes to each section, and email a performance summary to people on your brand.

A saved report remembers a view of Reports: the channel, the date range and any competitors you picked. Everyone on your brand can open it again in one click.

A saved report also unlocks three things:

  • Notes on each section, so your team can write down what the numbers mean.
  • Send Summary, which emails a performance summary to people on your brand.
  • AI Insights, an AI-written read of the report. See AI Insights.

You’ll find Saved Reports in the bar at the top of Reports, next to the channel and date pickers. For a tour of the rest of the page, see Reports Overview.

Quick start (5 minutes)

  1. Open Reports.
  2. Pick a channel with Select a Channel, and pick your dates.
  3. Click Saved Reports, then Save Current Configuration.
  4. Type a name, for example Instagram – monthly check-in, and click Save.
  5. The Report Notes panel opens on the right. Write a first note and click Add Note.
  6. Click the ⋮ menu next to Notes, choose Send Summary, pick a teammate and click Send Summary.

Example: a florist saves Instagram – last 30 days. She adds a note on Performance by Content Type: “Reels up again, keep two a week.” Then she sends the summary to her business partner.

Save a report

You need a channel picked before you can save.

  1. Set up the view you want: channel, dates and, if you like, competitors.
  2. Click Saved Reports.
  3. Click Save Current Configuration.
  4. Enter a name and click Save.

You’ll see Report saved successfully. The button now shows the report’s name, and the Report Notes panel opens.

What a saved report stores

Stored Not stored
The channel The page of the Posts Table you were on
The date range Which sections you had open
The competitors under Compare against

Notes and AI Insights belong to the report too, but you add those after saving.

How dates are saved

  • Last 7 Days, Last 30 Days, Last 90 Days, This Month and Last Month are saved as the choice itself. When you open the report next week, the page shows the last 30 days counted from that day.
  • Custom Range is saved with its exact From Date and To Date.

Example: you save Last 30 Days on March 1. On April 1 you open it, and the page shows March 2 to April 1.

AI Insights and Send Summary use the report’s saved settings too, so a saved Last 30 Days means the last 30 days on the day they run. They don’t see unsaved changes on screen. See Keep the saved dates current.

Open, update and manage saved reports

Click Saved Reports to see every report saved on your brand. Each one shows its name, the channel’s username, how many notes it has, and who made it (“by …”).

Open a report. Click its name. The channel, dates and competitors switch to the saved ones, its notes load, and you’ll see Loaded report: ….

When you hover over a report in the list, three buttons appear:

  • Rename (pencil): type a new name and click Rename.
  • Save As (two squares): makes a copy. The name starts as … (Copy). Change it and click Save As.
  • Delete (bin): click Delete to confirm.

At the top of the list, while a report is open:

  • Update Current Report saves the channel, dates and competitors on screen into the open report. You’ll see Report updated successfully.
  • Clear Selection closes the report. The channel and dates you’re looking at stay as they are.

Good to know:

  • Save As copies the saved version. It copies the report’s saved channel, dates and competitors, not unsaved changes on screen. It doesn’t copy notes or AI Insights.
  • Delete removes everything. The report’s notes and AI Insights are deleted with it.
  • Everyone on your brand shares the list. Anyone on the brand can open a saved report or Save As a copy. Only the person who created a report, or the brand’s Owner and Admins, can rename, update or delete it. On other people’s reports you won’t see Rename, Delete or Update Current Report.

Keep the saved dates current

AI Insights and Send Summary work out a moving range like Last 30 Days or Last Month on the day they run, the same way the page does. A Custom Range keeps its exact dates.

Example: a café saved Last 30 Days on May 1. On June 3 they open it and send a summary. The page and the email both cover May 5 – June 3.

They use the saved settings, not unsaved changes on screen. If the channel, range or competitors on screen differ from the saved report, Generate and Send Summary stop with a message. To use what’s on screen:

  1. Open the report.
  2. Check the dates on screen are the ones you want.
  3. Click Saved Reports, then Update Current Report.

The AI Insights header shows the dates it was made for (“Generated for …”), so you can check.

Add notes to a section

Once a report is open, every section has a small notes button in its top-right corner:

  • Overview on Average
  • Performance by Content Type
  • Performance by Pillar
  • Performance by Content Idea
  • Performance by Audience
  • Posts Table

The button shows a speech bubble when the section has no notes. Once it has notes, it shows the faces of up to three people who wrote them and the number of notes.

To add a note:

  1. Click the notes button on the section.
  2. Type in Add a note to this section…. You can use bold, lists and other formatting.
  3. Click Add.

Example: on Performance by Pillar, a gym’s manager writes: “Member stories dropped to 2 posts. Book two shoots before the 15th.”

Edit or delete a note. Notes you wrote have Edit (pencil) and Delete (bin) buttons in their corner. Click Edit, change the text, then Save. Or click Delete and confirm. You can only edit or delete your own notes.

The Report Notes panel

The Report Notes panel shows every note on the report in one place. It opens on the right when you open or save a report.

  • Click Notes (3) in the top bar to show or hide it. The number is how many notes the report has.
  • Click the arrow at the top of the panel to close it.
  • Each note shows its author, when it was written, and which section it’s on.
  • Newest notes are at the top.

Add a general note. Type in Write a new note… at the bottom of the panel and click Add Note. Notes added here aren’t tied to a section. Use them for the big picture.

Example: “March was our best month for comments. The Q&A reels did most of the work.”

Send Summary by email

Send Summary emails a short performance summary of the open report to people on your brand.

  1. Open a saved report.
  2. Click the ⋮ menu (More report options) at the end of the top bar.
  3. Choose Send Summary.
  4. Under Recipients, click Select recipients and tick one or more people.
  5. Click Send Summary.

You’ll see a message like Summary sent to 2 recipient(s).

Who can receive it. Only people who are members of your brand. To send it to a client or colleague, invite them to the brand first. See Inviting Your Team.

What the email contains

  • The subject Orsa - [report name] summary for [brand].
  • The report name, brand, the saved date range, and who sent it.
  • Summary: 3 to 5 sentences written by AI from the numbers. If the report has notes, the summary leads with your team’s notes and uses the numbers to back them up.
  • Overview: content pieces, engagement rate, average reach, likes, comments, and shares + saves, each with its change from the period before.
  • Breakdown by Content Type: posts and engagement rate per format.
  • Top Performing Posts and Lowest Performing Posts: three of each, with a View post link. Stories are left out.
  • See Notes: every note on the report, with its section (or General) and author.
  • A View Full Report button that opens the report in Orsa.

Good to know:

  • The email covers your own channel only. Competitors aren’t included.
  • The email uses the report’s saved dates. See Keep the saved dates current.
  • Average reach and shares + saves come from your Meta CSV. Without one, they show 0. See Upload a Meta CSV Report.
  • Everyone you pick gets their own copy of the email, so recipients don’t see each other’s addresses.

Ideas for using saved reports

A monthly report for the owner. Save one report per channel with Last Month. On the 1st, update it, add notes and send the summary.

Example: a salon saves Instagram – last month. On June 1 the manager clicks Update Current Report, adds a note on Performance by Content Type, and sends the summary to the owner.

A campaign report. Use Custom Range for the campaign’s dates. The dates never move, so the report stays a record of that campaign.

Example: a gym saves New Year campaign for January 2–31. In March, they compare it with a spring campaign report.

A competitor watch. Save a report with two or three competitors under Compare against. See Compare Competitors.

Example: a bakery saves Us vs. the two cafés nearby with Last 30 Days. They open it every Monday.

A team discussion. Ask each person to add one note on the section they own before the weekly meeting.

Example: the designer notes on Performance by Content Type, the copywriter on Posts Table. The summary email then reflects both views.

Tips for the best results

  • Name reports by channel and period, like Instagram – last 30 days. The list shows the channel’s username, but not the dates.
  • Click Update Current Report before you send. It brings the saved dates up to today.
  • Write notes before sending. The email’s AI summary is written from your notes when there are any. Notes with a clear point make a clearer summary.
  • Keep notes short and specific. “Reels up 20% on 6 posts, keep 2 a week” is easier to act on than “Reels good”.
  • Upload a Meta CSV first for Instagram, so the email’s reach and saves aren’t 0.
  • Use Save As for a new period, then change the dates and click Update Current Report. Notes stay with the original.

Common questions

Why don’t I see Save Current Configuration? No channel is picked. Choose one with Select a Channel first.

Why don’t I see the notes buttons, the Notes button or the ⋮ menu? They only appear while a saved report is open. Open one from Saved Reports, or save the current view.

Why can’t I edit or delete a note? You can only edit or delete notes you wrote. Ask the author to change it.

Why can’t I rename or delete a saved report? Someone else created it. Only the report’s creator or the brand’s Owner and Admins can rename, update or delete it. Use Save As to make your own copy you can change.

Can someone outside my brand get the summary? No. Recipients must be members of your brand. Invite them first. See Inviting Your Team.

Why does the summary email show different dates from the page? The email uses the range saved with the report. If you changed it on screen, click Update Current Report, then send again. See Keep the saved dates current.

Why are reach and shares + saves 0 in the email? Those numbers come from a Meta CSV, and there isn’t one for those dates. See Upload a Meta CSV Report.

Why doesn’t the email include my competitors? The email covers your own channel only. To share a competitor view, send teammates the page address while the report is open.

Did Save As copy my notes? No. The copy starts with no notes and no AI Insights.

I deleted a report by mistake. Can I get it back? No. Deleting a report also deletes its notes and AI Insights.

Can I share a link to a saved report? Yes, with people on your brand. While a report is open, the page address includes it. Copy the address from your browser and send it.

Can I export a report to PDF or a spreadsheet? No. There’s no export. Use Send Summary or share the page address.
