Design Versions and Collaboration

Go back to an earlier version of a design, and work on designs with your team without losing each other's changes.

Every time you leave a design with Exit, the editor keeps a copy of it as a version. If a change goes wrong, you can go back to an earlier version in a couple of clicks.

This guide also explains what happens when you and a teammate work on the same design, and how to hand designs back and forth without losing work.

You’ll find versions in the Versions tab, at the bottom of the side tabs in the design editor.

Quick start (5 minutes)

  1. Open a design and make a change.
  2. Click Exit. A version of the design is saved.
  3. Open the design again and click Versions in the side tabs.
  4. Find the version you want by its date and page previews.
  5. Click Apply, then Apply again to confirm. The canvas changes to that version.

Example: a cafe owner rewrote the headline on Monday’s post, then preferred the old one. They open Versions, find the version from Friday afternoon, and click Apply.

How versions are saved

A version is saved only when you click Exit, and only if:

  • You changed something since you opened the design.
  • The design isn’t empty.
  • The design isn’t locked by a scheduled or published post.

Autosave doesn’t make versions. It saves your work about 7 seconds after each change, but only Exit adds a version. Closing the browser tab doesn’t save a version either.

The last 8 versions are kept. When a ninth is saved, the oldest one is deleted. Versions are shared by everyone in your brand, so a teammate’s Exit counts toward the 8 too.

Example: a design edited and exited 10 times over a week keeps the 8 most recent versions. The first 2 are gone.

Going back to an earlier version

  1. Open the design and click Versions.
  2. Versions are listed newest first. Each one shows its number (like Version 3), when it was saved (“Created:” with a date and time) and a preview of every page.
  3. Click Apply on the version you want, then Apply in the confirmation.

What Apply does:

  • It replaces everything on the canvas, all pages, with that version.
  • You can undo it with the undo button, as long as you stay in the editor.
  • The design saves about 7 seconds later, so the older version becomes the current design for everyone.

To keep your current design as a saved version too, click Exit first, then open the design again and apply the older version. That way, you can switch back even after you leave the editor.

When two people edit the same design

Two people can open the same design at the same time, but they don’t see each other’s changes as they happen, and changes aren’t merged.

Each person’s editor saves its own copy of the whole design about 7 seconds after their last change. So the last one to save wins:

  1. Sam opens the design and changes the headline.
  2. Alex opens the same design and swaps the photo.
  3. Sam’s editor saves the design with the new headline and the old photo.
  4. Alex’s editor saves a few seconds later with the new photo and the old headline. Sam’s headline change is gone.

Neither person sees a warning. Sam only notices after opening the design again.

To avoid losing work:

  • Take turns. Agree who’s editing, and have them click Exit when done.
  • Reopen before you edit. If someone else worked on the design while you had it open, close it and open it again to load their changes.
  • Use comments to ask for changes instead of editing at the same time.
  • Check Versions if something you changed has disappeared. The version from your last Exit may still have it.

Working on a design with your team

These tools help your team share and review a design without editing it at the same time:

  • Comments: open the Comments tab to leave notes and mention teammates. A red dot on the tab means there’s something you haven’t read. See Comments and Mentions.
  • Copy Link: click ⋮ → Copy Link to copy a link to the design for teammates in your brand.
  • Share: click ⋮ → Share to make a link for people outside your team, like a client. See Sharing with Share Links.
  • Approvers and Request Review: in the Info tab, pick who should approve the design and ask them to review it. See Reviews and Approvals.
  • Brand Templates and Favourites: shared with everyone in your brand, so the team builds designs from the same pieces. See Design Templates and Your Brand Kit.

Example: a social media manager finishes a carousel, clicks Exit, and asks the owner to review it. The owner leaves two comments instead of editing. The manager opens the design again, makes both changes, and clicks Exit, saving a new version.

Ideas for using versions

Try a bold idea safely.

A boutique wants to test a dark background on its sale post. They click Exit to save the current look as a version, reopen it, and try the new style. If the team prefers the original, they Apply the earlier version.

Undo a teammate’s mistake.

A gym’s assistant accidentally deleted the price from a flyer and clicked Exit. The manager opens Versions, applies the version from before that, and the price is back.

Recover after a template mix-up.

Someone clicked Use template on a finished design, replacing every page. Because the design had been exited earlier, they apply the last version from before the mistake.

Tips for the best results

  • Click Exit when you finish a round of edits. It’s the only way to save a version.
  • Exit before big changes, like applying a template or another version. You’ll have something to go back to.
  • One editor at a time. Changes aren’t merged, so the last save replaces everyone else’s.
  • Reopen a design a teammate just worked on before making your own changes.
  • Remember the limit of 8. If a good version is about to drop off, duplicate the design from the Create page to keep a copy.

Common questions

The Versions tab says “No saved versions yet”. No version has been saved yet. Versions are only saved when someone clicks Exit after changing the design.

Exit didn’t save a version. A version is only saved if something changed since you opened the design, the design isn’t empty, and it isn’t locked by a scheduled or published post.

I can’t find an older version. Only the last 8 versions are kept. Older ones are deleted when new ones are saved.

Can I undo Apply? Yes, with the undo button, until you leave the editor. After that, if you clicked Exit before applying, apply that newer version instead.

My teammate’s changes disappeared. You probably both had the design open, and your editor saved its copy after theirs. Open Versions and look for the version from their last Exit. Then take turns editing.

Can two people edit a design at the same time? You can both open it, but you won’t see each other’s changes, and the last save replaces the other person’s work. Take turns, and use Comments to talk about changes.

Who can see and apply versions? Everyone in your brand who can open the design.
