Editing Documents with Orsa AI
Ask Orsa AI to write a paragraph inline, rewrite selected text, or edit the whole document from the Orsa AI panel, and approve each change before it's applied.
Orsa AI can help you write and edit documents in three ways:
- Ask Orsa AI inline: type
/, ask for some text, and it’s inserted where you typed. - Quick rewrites: select text and pick an action like Make shorter or Fix spelling & grammar.
- The Orsa AI panel: chat with Orsa AI about the whole document. Orsa AI proposes edits, and nothing changes until you approve them.
All three work inside the document editor. Open a document from the Documents tab of the Create page. For the editor itself, see Writing Documents.
Quick start (5 minutes)
- Open a document that has some text in it.
- Click Ask Orsa AI at the bottom right. The Orsa AI panel opens.
- Type a request, like “Make the intro shorter and friendlier”, and press Enter.
- Orsa AI replies with a card that says Orsa AI wants to edit the document.
- Read the proposed change on the card.
- Click Approve. The text changes in your document, and you see “Document updated”.
Example: a dentist’s office has a long FAQ document. They ask Orsa AI “Add a short answer about weekend opening hours after the question on appointments”. The card shows an INSERT change. They click Approve.
Ask Orsa AI inline
Use this to draft a new paragraph, list or idea right where you are.
- Click where you want the text to go.
- Type
/and pick Ask Orsa AI (“Prompt AI and insert the result”). - Type your request in the box that says “Ask Orsa AI to write something…”.
- Press Enter. Orsa AI’s answer is added where you typed
/.
Press Esc, or click outside the box, to close it without asking.
Inline Ask Orsa AI only sees what you type in the box. It doesn’t read the rest of your document or your brand details, so put everything it needs in the request.
Example: instead of “write an intro”, type Write a 2-sentence intro for a blog-style guide on caring for a new tattoo, friendly tone, for first-time clients of our studio.
Quick rewrites from the toolbar
Use these to rework text you’ve already written.
- Select the text you want to change.
- In the toolbar above it, click Orsa AI.
- Pick an action:
- Improve writing
- Fix spelling & grammar
- Make shorter
- Make longer
- Simplify
- Change tone: Professional
- Change tone: Casual
- The selected text is replaced with Orsa AI’s version.
Don’t like the result? Click Undo in the toolbar, or press Cmd/Ctrl + Z.
Example: select a stiff paragraph from a policy document and pick Change tone: Casual before sharing it with your front-desk team.
Editing with the Orsa AI panel
The Orsa AI panel is a chat that knows about this document. Orsa AI reads the document’s saved text and your brand’s details, like your Playbook, content pillars and audiences, so you can ask for bigger changes in plain words.
- Click Ask Orsa AI at the bottom right of the editor.
- Type a request, or click one of the starters: Improve the writing in this document, Suggest a better title or Summarize this document.
- Orsa AI answers, and for changes it shows a proposal card.
You can drag the panel’s edge to make it wider, or click Expand for full screen. The conversation stays with the document, so it’s there the next time you open it.
What Orsa AI can propose
| Card says | What it changes |
|---|---|
| Orsa AI wants to edit the document | Specific parts of the document. Each change is listed with a label. |
| Orsa AI wants to rewrite the document | Replaces the whole document with new text, shown on the card |
| Orsa AI wants to update document title | Renames the document |
On an edit card, each change has a label and the block it affects, like EDIT block 3:
- EDIT: replaces that paragraph, heading or list with the new text shown.
- INSERT: adds the new text shown before or after that block.
- DELETE: removes that block.
The block number counts the paragraphs, headings, lists and other blocks from the top of the document.
Approve or cancel Orsa AI’s changes
Nothing in your document changes until you approve.
- Click Approve on a card to apply it. You’ll see “Document updated”, and the card turns into Orsa AI edited the document.
- Click Cancel to turn it down. The card shows Rejected.
- When there are several cards waiting, a bar above the chat box lets you step through them, or click Approve All or Reject All.
Approved changes are saved like any other edit. If you change your mind, press Cmd/Ctrl + Z in the document to undo, or bring back an earlier version. See Document Versions and Export.
For more on approval cards everywhere in the app, see Approving Orsa AI’s Actions.
Limits and AI credits
- Request length: a request can be up to 8,000 characters. For a quick rewrite, the selected text counts toward that limit, so rewrite very long passages a few paragraphs at a time.
- AI credits: chatting with Orsa AI in the panel uses your brand’s AI credits. When they run out, the panel shows “You’ve used all your AI credits for this plan. Upgrade your plan or buy an AI Credit Pack to keep chatting.” See Plans and Billing and Credits and Limits.
Ideas for using Orsa AI in documents
Turn rough notes into a clean brief.
After a client call, paste your notes into a document and ask the Orsa AI panel: Organize these notes into a brief with headings for Goal, Audience, Key message and Deliverables. Approve the rewrite.
Fix a whole document before you share it.
Click the starter Improve the writing in this document. Read each EDIT on the card, then click Approve.
Find a better title.
Click Suggest a better title. If you like Orsa AI’s pick, approve the Orsa AI wants to update document title card.
Fill a gap fast.
In a menu guide, type
/, pick Ask Orsa AI, and ask for three one-line descriptions of a pumpkin spice latte, an oat flat white and a chai, warm and cozy tone.
Tips for the best results
- Wait for All changes saved before asking the Orsa AI panel. Orsa AI reads the saved document. If you’ve just typed something, give it a few seconds to save first.
- Be specific about where. “Shorten the second paragraph under Pricing” works better than “make it shorter”.
- Fill in your Playbook and content pillars. The Orsa AI panel uses them for rules and focus. See Playbook and Content Pillars.
- Give inline Ask Orsa AI the context. It doesn’t see your document or brand, so name the topic, audience, length and tone in the request.
- Read every card before approving. Check what each DELETE removes in particular.
Common questions
I approved a change and saw “The document changed since the AI read it — ask the AI to try again”. The text Orsa AI planned to change was edited after Orsa AI read it, so the change was not applied. Wait for All changes saved, then ask Orsa AI again.
Inline Ask Orsa AI shows “Something went wrong. Please try again.” The request didn’t go through. Check your connection and try again. If your request is very long, shorten it. Requests can be up to 8,000 characters.
A quick rewrite failed with “AI request failed. Please try again.” Try again with less text selected. Very long selections can go over the 8,000-character limit.
Nothing happens when I click Orsa AI in the toolbar. Select some text first. The quick rewrites only work on a selection.
Orsa AI’s inline text doesn’t sound like my brand. Inline Ask Orsa AI and the quick rewrites don’t use your brand details. Describe the tone in your request, or use the Orsa AI panel, which does use them.
Can I undo something I approved? Yes. Press Cmd/Ctrl + Z in the document, or apply an earlier version from Version History.
Is Orsa AI available in the blog editor?
Inline Ask Orsa AI in the / menu works in blogs too. The Orsa AI panel and the
toolbar rewrites are only in documents. Blogs have their own AI steps. See
Writing a Blog with AI.
